How to Create and Activate a Calendar in GoHighLevel
Create a Round Robin calendar in GoHighLevel, assign a team member, set a 30-minute meeting duration and your booking hours, then confirm and publish it. If the calendar shows Draft instead of Published, click the three dots next to its name and select Activate Calendar — an unpublished calendar can't be booked by your AI assistant.
Your AI assistant can only book appointments against a calendar that’s created, has an assigned team member, and is published. This is the calendar-side setup that step precedes how to add a team member to your GoHighLevel sub-account leads into.
Before you start
Have a team member already added to the sub-account — you’ll assign the calendar to them.
Steps
- Access the calendar tool in GoHighLevel.
- Create a new calendar and choose Round Robin for flexibility.
- Assign a team member from your staff list.
- Name the calendar — a descriptive name, or a test number while you’re testing.
- Set the meeting duration, for example 30 minutes.
- Define booking availability — the days and hours the calendar accepts bookings, in the correct time zone.
- Confirm creation by clicking Confirm.
- Publish the calendar. Check the status shows Published. If it shows Draft, click the three dots next to the calendar name and select Activate Calendar.
Troubleshooting
Activation requirement: if the calendar isn’t activated, no appointments can be booked to it — always check status after creation.
Time zone awareness: make sure the calendar’s time zone matches where your bookings should actually land, to avoid scheduling conflicts.
