How to Add a Team Member to Your GoHighLevel Sub-Account
To add a team member in GoHighLevel: open Settings, click Staff, then Add Employee, and fill in their name, email, phone and access level. Save, then confirm the team member is assigned to the relevant calendar — an unassigned team member leaves that calendar inactive, which blocks your AI assistant from booking appointments to it.
A team member has to exist in the sub-account — and be assigned to a calendar — before that calendar can go live for your AI assistant to book against.
Steps
- Access Settings. Log into your GoHighLevel account and navigate to the Settings section.
- Add Employee. Click Staff within settings, then select Add Employee.
- Enter employee information: First Name, Last Name, Email Address and Phone Number.
- Assign access. Decide the level of access the team member needs for their role, and select the matching permissions.
- Save. Click Save to finalize the addition.
- Confirm calendar assignment. Verify the team member is assigned to the relevant calendar — this is what lets that calendar be activated.
Common questions
Why does an unassigned calendar matter? If a team member isn’t assigned to a calendar, that calendar stays inactive, which stops appointments — including AI-booked ones — from going onto it. This is one of the first things to check in fix: AI assistant not booking appointments.
What access level should I give them? Base it on their actual role. Double-check the email address too — an incorrect one causes communication issues down the line.
